Step 1: Start With Birthday Person’s Age and Gender

The most essential factor in choosing a birthday party theme is the age of the person whose birthday you are celebrating. Not only age of the person help you build a celebration that is appropriate for the age, but also, a milestone birthday needs a special celebration.

Every birthday is special, but milestone birthdays like the first birthday, sweet sixteen birthday, 18th birthday, or 60th birthday deserve an extra special celebration.

Also, certain birthday themes, especially for kids’ birthdays, are fun only till a certain age. Different age groups have different definitions of fun and cool; their energy levels and interests are different, and your party theme must take into account all of these.

Next, you must also take into consideration the gender. Girls love pink, fairytale-style parties, whereas boys are all for games and superhero kind of stuff. Women would love a birthday celebration that is floral and elegant, but men would probably not enjoy such a party.

Sometimes it is just best to ask, especially for kids. For my daughter’s birthday, I was planning something, but she told me she wants a mermaid birthday. I was like, I spent so much time planning to surprise her, but she knows what she wants; I could have made my life easy simply by asking her.   • A toddler obsessed with dinosaurs would love a dinosaur-themed party or a jungle-themed party.
  • Girls love princess stories, they will like a princess theme party with royal and glam decor.
  • A teenager who loves pop songs or Instagram trends would love a fun dance party with aesthetics, a selfie corner, and trendy decor.
  • People in their 30s may prefer quality time to catch up, a relaxed vibe; a birthday brunch party may be perfect for them.

Once you know the interest of the person, the choice becomes easier. If you are confused, here are a few questions that may help you make a choice.

  • What do they talk about all the time?
  • Do they have a favorite hobby, sport, or TV show?
  • Are they into quiet things, or do they love a big crowd and lots of action?

Now that you have some idea of the theme of the party you want to go to, you can further narrow down by deciding the overall vibe or mood of the celebration. This will help you bring life to the theme and help in further planning of the party, and ensure the party has a cohesive theme that is reflected well throughout the celebration.

Vibe is like the personality of the party. You need to be clear, is it going to be fun and loud, chic and classy, cozy and relaxed, or elegant and luxurious? This choice will help you guide to make the choice of party decor, menu, and activities.

Step 4: Consider the Season or Time of Year

Seasons can play a huge part in the party theme. Summers are best to host an outdoor birthday party, but the same will not be possible in winter. Similarly Time of the year can also affect the choice of party. During spring break, you can plan a birthday party that can be a long outdoor picnic, but the same may not be easy to execute on other days with kids’ school. Similarly, December birthdays can reflect the holiday season and snow-time, allowing one to plan a winter wonderland party or an icy princess whimsical party.

Classical themes are a timeless and safer option if you are looking for something tried and tested and do not want to experiment. These are great options if you are celebrating milestone birthdays or have a mixed-age crowd.

For elegant, classic, and easy to personalize, grown-up birthdays go for a timeless theme

Can’t decide? Mix both! Add a trendy touch like a reel station to a timeless theme garden party.

Step 8: Plan the Budget

No matter how fun the theme sounds, your party should fit comfortably within your budget. This step is where reality meets creativity. Whether you’re planning a small celebration at home or going all-out with professional decorators, setting a budget early helps you stay in control and choose a theme that fits your budget. An extravagant carnival theme birthday may not be possible to execute at home or on a tight budget.
Another important thing to consider at this point is to think whether the theme you have selected or narrowed to can be hosted and planned yourself, or will need to hire professional decorators or vendors.
You must also think of party food, entertainment or activities, party favors you think will go best with the theme you have chosen, and they will fit your budget.
It’s not that every party needs a huge budget, but you can make an attempt to fit them in your budget by trying DIY decor, simple activities, or making party food at home instead of catering. The size of the guest list also matters when it comes to the budget, and it may not just be about the theme you have chosen.

Step 9: Add a Personal Touch

Make your party theme extra special by adding a special personal touch that changes the party from just a birthday theme to your party. A simple addition to the party theme or a unique personal twist will make your party more personal. You can include a birthday tradition, a themed cake that tells a story, custom favors, or thank you notes. Include some signature activities or food stations like a build-your-own sundae bar, a Taco station.

  • For my niece’s 1st birthday, we planned a big celebration with over 40 guests, but we could feel she was overwhelmed and clinging to her mom. After that, I feel it is good to keep the first birthday a close affair with few close family and friends to let the birthday baby and mom enjoy too.
  • If you are sure of the theme and everything that you want to plan, along with such as activities and food, but going out of budget. Try to reduce the guest list; it will help you reduce the cost and go for a DIY mode.
  • For a kids’ party, if you are having a range of age groups and unsure of the theme, following a color theme is also fine. For my niece’s 3rd birthday guest list included her elder sister’s friends too. So we went for a pink theme party and included a few activities that even older kids can enjoy, and it was easy to pull off.
